Virtual assistance makes a lot of sense… It’s a way for small business owners to get help without having to worry about the headache and expenses of hiring an employee.
Many small business owners don’t need an employee sitting at their office, but having a virtual assistant on hand allows their business to get the help it needs – running smoothly while the owner focuses on what they need to get done.
Our clients are typically small business owners, so you can imagine the variety of tasks we tackle — one day a client may need help getting a webinar ready, and the next, we’re compiling and calling a list of potential partners. Another day, they may want a persuasive email drafted to send to their customers. We can assist in many ways, and that’s what makes our service so useful (and what makes it so interesting to work here).
This creates a problem though… You wouldn’t hire an employee, and expect them to be able to do everything in your business. It’s unlikely that someone will be tech-savvy, a great verbal communicator, familiar with all types of software, a great writer, etc.
At LongerDays, we acknowledge that people have different aptitudes, knowledge, and strengths. We don’t assign a client to one VA, and then ask that virtual assistant to handle all the client’s tasks. Some companies are structured this way, and plenty of “work at home” assistants attempt to do all of a client’s tasks alone.
Here, we put a major emphasis on working as a team, and that makes all the difference. In order to handle a wide variety of tasks, we hire a diverse staff with different skill sets. This ensures that we have a wide range of experience on hand, and assign tasks accordingly. By routing tasks to the person most appropriate, we are able to work more efficiently (in terms of time spent) and produce better results.
For instance, if a search engine optimization (SEO) task comes to a Team Lead here, instead of that team lead trying to quickly learn everything there is to know about SEO and get the job done, we would route the task to the staff member most familiar with that type of work. This saves the client money and gives them better results.
That doesn’t mean we aren’t all learning on the job all the time – we most certainly are – or that we know everything there is to know about each and every type of project that comes in. It does, however, allow us to mine the collective skills of our team, working together and teaching one another to develop the overall abilities of the crew.
In addition, teamwork is an important part of getting large projects done quickly. When a large project comes in, we divide up the work and attack it simultaneously to improve turnaround time.
Sometimes new clients are concerned about who they’ll be matched up to work with. Sometimes they have a list: the person must be familiar with Infusionsoft, be good on the phone, be tech-savvy, organized, etc.
We do our best to match clients up with Team Leads who best fit their needs, but it’s less of an issue than new clients assume. No matter the skill set of the Team Lead you are working with, they are supported by an entire company of people. With a range of different abilities at our disposal, we do our best to delegate tasks to the appropriate person – or at the very least, lean on experiences to educate staff about anything that comes up!
